Gmail - Connectors | Microsoft Docs

Gmail is a web-based email service from Google. With the Gmail connector, you can perform actions such as send or receive e-mail messages, and trigger flows on new e-mails. In this article. This connector is available in the following products and regions: Service Class Regions;.
From: docs.microsoft.com

This connector is available in the following products and regions:

Authentication and Bring your own application

The Gmail connector now supports multiple authentication types:

The default shared application uses a Google Client application maintained by Microsoft. In this case, when you sign into your Gmail account, you'll be asked to consent to the Microsoft Power Platform application.

With "Bring your own application" option, you can use your own Google OAuth Client application instead of the one managed by Microsoft. Doing so will allow you to control permissions and enable certain limitations on the use of the connector.

To use your own Google OAuth Client application with the Gmail connector, you'll need to perform the following steps:

Creating an OAuth Client Application in Google

To create your own Google OAuth client application, you'll need to first sign in to https://developer.google.com. Navigate to Google's API Console — which is where you can manage access to Google APIs — and create the OAuth application. This process is explained in Google's Gmail API Developer Guide. Google provides a setup tool to guide you through the process of creating a project for you, enable the Gmail API for your project, and create an OAuth client application and the credentials for it. Here's some information you'll find useful when going through the tool:

Once you're done, navigate to the created OAuth client from the Credentials page. You'll find the Client ID and the Client secret of your app. You can now use those values in your Gmail connection.

Using your own application in the Gmail connector

Once you create the Google OAuth client application, you can use it while creating a Gmail connection.

Click on Sign in to sign into your Gmail account. This will prompt you to sign in to your Gmail account, and then authorize access to the Google app that you created above.

Known issues and limitations Trigger limitations for large number of incoming emails

The When a new email arrives trigger may skip emails if you are receiving more than 300 emails per 30 seconds interval. Consider configuring your flow with additional filter parameters to reduce number of emails.

Using Gmail connector with consumer Gmail accounts

In compliance with Google's security and privacy policy, customers using consumer Gmail accounts (Accounts ending in @gmail.com and @googlemail.com) can only connect to a limited set of services within Power Automate and Logic Apps. Customers using Gsuite accounts are not impacted by this change. If you need to use the Gmail connector with services not specified in the below list you will need to register your own Application id with Google. Below is the list of the current approved services, do note that this list is subject to change in the future in accordance with Google's policies:

In Power Automate if you create a flow with a non-compliant service the flow will end up being saved in a disabled state.

Calculating work units

The connector has a throttling limit (refer here) on the number of work units that can be consumed in a day.

The logic on how these work units are calculated for each operation is shown below:

Connector in-depth

For more information about the connector, see the in-depth section.

What is Gmail? A Starter Guide for Email Beginners

Feb 07, 2019 · Gmail is Google’s email service, but I won’t go so far as to tell you what email is. I think virtually everybody on the planet knows what email is. …Email has advanced in leaps and bounds in the last 15 or so years since Gmail made its debut. But what is Gmail and what exactly makes it special?.
From: www.groovypost.com

I remember my first email address back in 2000. It was a Yahoo address. What a glorious moment it was to start emailing people and get a response back lightning fast. No more parchment and quill or carrier pigeons! But then 2004 came along.

What happened in 2004? Google introduced Gmail, and as Google often likes to do with their products, they totally up-ended the industry. Pre-Gmail, you got a paltry amount of space for emails and you were expected to suck it up and like it. But now Gmail was offering one gig of space on an invite-only basis. I was ready to sell my grandmother that day for a Gmail invite (and I love her dearly).

Since 2004, Google has continued to work on Gmail so much that it is a powerhouse in the email industry and has crushed lesser mortals. Continuing on in our series for internet newbies, we today take a look at the question “what is Gmail exactly?”

What is Gmail?

Glad you asked because I was just about to tell you. Gmail is Google’s email service, but I won’t go so far as to tell you what email is. I think virtually everybody on the planet knows what email is. You can access it through the web or through a smartphone app.

The basic service is free to use and more than sufficient for most people’s needs. But business people may need to upgrade to the paid Google Office which powers your website email and provides Google services for your domain. But that is outside the scope of this article. Today we are only focusing on the free service for regular mortals.

What Makes Gmail Better Than the Rest?

Obviously, there are many email services out there, other than Gmail. Yahoo Mail is still around in a ghostly form, as well as Windows Live Mail, Outlook, GMX, Protonmail, Yandex, AOL (believe it or not) and many others — including the account provided by your ISP. So why choose Gmail for your emailing needs? Let’s take a look at some of the features.

Huge Amounts of Space

As I said at the beginning, before Gmail came along, you got a tiny amount of space. Not happy? So what? Delete a few emails, make space, and stop complaining.

But when Gmail arrived, they gave one gigabyte of space to users and it just kept going. At the time, it was so much space that people considered it as “unlimited storage”. They couldn’t wrap their heads around the fact they had so much. Some bloggers at the time started advocating using Gmail as an online file storage system. Remember, there was no cloud storage back then.

Suddenly every email service had to scramble to catch up with their storage offerings. A few megabytes of space wasn’t going to cut it anymore.

Today, each new Gmail account has 15 gigabytes of storage but the downside is that the 15 gigabytes also counts towards your files in Google Drive and photos in Google Photos. If you need more space, you should upgrade your Google Drive space which you can also use for Gmail. I do this and I have over 100 gigabytes of space now.

Great Search Functions

One of the great things about having all of that space is that you can archive emails and forget about them. But what if you need to find a particular email later?

Well, Gmail wouldn’t be a Google product without an outstanding search function to go along with it. By adding a few search keywords in the search box, you can find emails and attachment types (such as emails with only PDF attachments). You can filter by date, sender email, date range, label, and many more.

Advanced Spam & Phishing Protections

Spam has been a continual thorn in the side of email users since the first email addresses started being used. Who hasn’t been offered cheap viagra from Canada or a share of ten million dollars from a Nigerian prince?

Gmail has always had very good spam protections which stops the worst of the spam from getting through. Obviously, it is not perfect – nothing ever is – but it learns when you hit the spam button on an email. All future emails from that person will be marked as spam and sent to the spam folder.

Likewise, if you see something in the spam folder which is not spam, you can easily mark it as a false positive and send it to the inbox.

If a link inside an email looks suspicious or Gmail has had reports of the link causing trouble, you will get a prominent warning at the top of the email. Another tip is to disable automatic image loading in Gmail to disable hidden trackers inside the email.

Speaking of security, the company also recently added the ability to protect your messages using its Confidential mode feature.

Canned Replies

For someone like me who gets a lot of emails that require repetitive answers, “Canned Replies” is a productivity Godsend. You can set up pre-written emails and one click of a menu option will automatically paste that text into the email.

So when I get story pitches from marketers, I can set up a canned reply telling them my email address does not exist and the email failed. When I apply for a freelance assignment, I can send my job application text. I also have my automatic signature as a canned reply.

Multiple Inboxes

If you have a lot going on in life, such as work, you may find it helpful to have multiple inboxes on your screen. This is where emails from different labels appear on the inbox screen.

The emails themselves are actually archived but they show up on the inbox page, provided it has the necessary label. This is not provided as a default feature. You must switch it on in the “Advanced” tab of the Settings.

Labels & Filters

Pre-email, you probably dealt with a lot of paper and probably stored all that paper in a filing cabinet. Millennials, you’re probably lost right now with all this advanced terminology, so click here for clarification.

Now you can keep emails in your inbox and archive organized by using labels. These labels appear on the left side of the screen and can be color-coded. You can also search solely in a particular label. See the screenshot in the previous section for an example of my labels.

Labels can, of course, be removed from emails at any time and can be attached to emails in large batches.

As for filters, this makes all the difference if you are looking to have a stress-free and uncluttered inbox. Incoming emails can be sent directly to labels or directly to the trash bin. If an email is constantly going to the spam bin, a filter called “never send to spam” can be used. Filters are available to forward emails to other addresses or services, such as Slack or Kindle.

Gmail Apps

This one deserves an article of its very own as there is so much to go into. But to cut a long story short, Google is now allowing third-party developers to allow their apps to integrate with Gmail.

This can be big names such as Trello and Dropbox. Or smaller people such as Streak and GfyCat. With the smaller companies, you should exercise a lot of caution about what permissions you grant them to your email. Nevertheless, these add-ons are seriously useful.

Offline Gmail

Not every place in the world has the Internet. I know, it’s unbearable to think about, isn’t it? Whenever my phone says “No Internet Connection“, suddenly I have trouble breathing. As the saying goes, “Home Is Where The WiFi Automatically Connects”.

It can be really annoying having no Internet, especially if you have a flaky service provider. That’s why Offline Gmail is such a great feature. By switching it on in the settings, you can download a certain number of emails to your computer (up to 90 days), and you can reply to emails in your inbox.

But they obviously won’t send out to people until your Internet comes back on. Neither will you get new emails until your connection is back. But at least you can clear your backlog.

Keyboard Shortcuts

Another feature of the “Advanced” tab in Settings, you can use keyboard shortcuts to open a new email window, scroll backward and forward through your inbox, archive, delete, and much more.

After enabling the feature, go to the Keyboard Shortcuts section in Settings. Pre-made settings are already there but if there is one you don’t like, you can change it to something else.

There are lots of other features in Gmail but for a beginner, these are the features you should initially focus on. I haven’t even delved yet into Undo Send, bookmarking individual emails and folders, Google is constantly building on their email service so it’s worth getting an account and taking advantage of what they have to offer.

Lesson 2: Setting Up a Gmail Account

Setting up a Gmail account is easy. You will begin by creating a Google account, and during the quick sign-up process you will choose your Gmail account name. In this lesson, we'll show you how to set up your Google account for Gmail, add and edit contacts, and edit your mail settings.

Setting up a Gmail account

To create a Gmail address, you'll first need to create a Google account. Gmail will redirect you to the Google account sign-up page. You'll need to provide some basic information like your name, birth date, gender, and location. You will also need to choose a name for your new Gmail address. Once you create an account, you'll be able to start adding contacts and adjusting your mail settings.

To create an account:

Just like with any online service, it's important to choose a strong password—in other words, one that is difficult for someone else to guess. For more information, review our lesson on creating strong passwords.

Signing in to your account

When you first create your account, you will be automatically signed in. Most of the time, however, you'll need to sign in to your account and sign out when you're done with it. Signing out is especially important if you're using a shared computer (for example, at a library or office) because it prevents others from viewing your emails.

To sign in: To sign out:

In the top-right corner of the page, locate the circle that has your first initial (if you've already selected an avatar image, it will show the image instead). To sign out, click the circle and select Sign out.

Mail settings

Occasionally, you may want to make adjustments to Gmail's appearance or behavior. For example, you could create a signature or vacation reply, edit your labels, or change the theme. These adjustments can be made from your mail settings.

To access your mail settings: Adding contacts

Like all major email providers, Gmail lets you keep an address book of contacts so you don't have to memorize everyone's email addresses. You can also add other contact information, like phone numbers, birthdays, and physical addresses.

To add a contact: To edit a contact: Importing mail and contacts

You may already have a contact list from another email address, and it would be a lot of work to re-enter all of this information manually. Gmail allows you to import your contacts from another email account, and you can even import all of your email messages from that account. Several email providers are supported, including Yahoo!, Hotmail, and AOL.

To add other accounts: Challenge!

Thunderbird can be configured to work seamlessly with Google's Gmail service. Messages are synchronized between your local version of Thunderbird and the web-based Gmail.

Configuring your Gmail account

To configure Thunderbird to work with Gmail, first enable IMAP on your Gmail account. See Gmail's instructions for help. (IMAP is enabled on new Gmail accounts by default.)

Next, select File > New > Existing Mail Account.... The "Mail Account Setup" dialog is displayed. After you provide your account information (real name, email address and password), Thunderbird will automatically configure your Gmail connection. Click Done, sign in with your Google account if prompted and that's all! Thunderbird will download your existing messages and your Gmail will be ready to use.

For more detailed information, please refer to:

Gmail's particularities Archiving messages

In order to be consistent with Gmail's behavior, Thunderbird archives your message in the "All Mail" folder, and not in an "Archive" folder as it does for other accounts (as described in the Archived Messages article).

Note that the Archive options... button is disabled for Gmail accounts, as it is not necessary to define the archive granularity with Gmail.

Subscribing to folders and synchronizing messages Understanding Gmail labels and Thunderbird folders

Gmail uses a special implementation of IMAP. In this implementation, Gmail labels become Thunderbird folders. When you apply a label to a message in Gmail, Thunderbird creates a folder with the same name as the label and stores the message in that folder. Similarly, if you move a message to a folder in Thunderbird, Gmail will create a label with the folder name and assign it to the message.

In the example shown below, the folders at the same level as the "[Gmail]" folder ("g+", "Personal", "Receipts", "Travel" and "Work") correspond to Gmail labels.

There is also a set of special sub-folders for the "[Gmail]" folder:

Subscribing to or unsubscribing from folders (labels)

You can configure which Gmail folders you want to display in Thunderbird. By default all Gmail folders are displayed, as described above. To configure folder display, right-click on the account name and select Subscribe.

Uncheck any folders that you don't want to display in Thunderbird. Messages will still be downloaded and available through the "All Mail" folder. They will also be included in search results. However, the Gmail label (Thunderbird folder) will not be displayed.

Synchronizing folders (labels)

If you want to see all your Gmail labels and messages in Thunderbird but prefer to avoid all the messages being downloaded to your system, you may want to tweak the synchronization settings. This allows you to define which folder should be synchronized. If you don't synchronize a folder, the message header will still be displayed in Thunderbird, but the message content will only be downloaded when you click on the message header.

To change how messages are downloaded, set synchronization options for the account and for individual folders. (Tools > Account Settings...Edit > Account Settings...) See IMAP Synchronization for more information.

Hang on, you can @ people in Gmail? - The Next Web

From: thenextweb.com

A significant chunk of my workday is spent in Gmail. It’s probably the single product I use the most, and with a product that big, it’s easy for features to pass under your nose. That’s exactly the case with this: it turns out you can “@” people in Gmail, just like Twitter and Instagram.

Here’s how it works: when you’re writing an email and you want to mention someone, just type “@” and the first few characters of their name. Gmail’s autocomplete does the rest, and you just have to click the name of the person you wish to include.

This creates a clickable link, which lets the recipient compose an email to that person. It also adds that person to the email’s To field, so they can see previous messages in the email chain, and are included in the rest of the conversation.

Let me be clear, this is by no means a new feature. In the words of the Black Eyed Peas’ Fergie, I’m so 2000-and-late.

Tagging people in Gmail first landed in May, but as it wasn’t particularly visible, it has largely passed by unnoticed. That’s a shame, because it’s actually really useful.

Tagging people feels like such a naturally fluid way to include people in email conversations, especially when you compare it to the relatively cumbersome process of manually ccing and bccing. If you spend most of your time writing emails, it feels like it could shave a few precious minutes from your workflow.

And compare to old-school ccing, it’s a vastly more visible way of including people in email conversations.

Case in point: earlier today, I received a pitch about a tracking gadget from a PR, which I passed on to my colleague Callum Booth, who handles the lion’s share of TNW’s hardware coverage. I included Callum by way of CC to the email chain, but the publicist unfortunately didn’t notice, and immediately replied with a request for his contact details.

Er, mate. Why don’t you look at your screen?

In his defense, it’s easy to miss when names in email fields, and had I actually used Gmail’s new-ish feature, it wouldn’t have been a problem.

It also seems as though the feature isn’t available to everyone. You’ve got to have the new Gmail enabled. If your work account won’t let you make the switch, you’ll be stuck using the old method.

Makes you wonder what other handy features in Gmail you’ve missed all this time, eh?

Usually, when you create a new Gmail account, Google will ask you for a phone number verification. This used to be optional, but Google has made it mandatory. However, maybe you don't want Google to know your number. After all, that kind of information is sensitive. What would happen if Google got breached and your number got leaked? It's not unreasonable to keep it to yourself. In that case, you want an alternative way to create a Gmail account, one that doesn't require your number.

Fortunately, there are several ways you can bypass Gmail's phone number requirement. So, if you don't want to give Google your phone number for whatever reason, you may use one of these options instead.

How to create a Gmail account without verification

There are a few ways you can create a Gmail account without phone verification. One of the simplest ways to do this is through the Gmail app. Why? Because no matter how you sign up you can refuse to give a phone number for verification. An alternative way is to enter 15 as your age. That way Gmail will think you don't have a phone number yet.

Note: While these methods can work, sometimes when you sign in to your account from another device, or if you sign in for a second time, the app will ask you for your phone number. To avoid this issue, add another e-mail for verification before you sign-in again so it can ask for that e-mail. Add another e-mail with the age being 15 and that should take care of it.
If everything else fails, you can at least use a dummy number website. You'll still have to add a phone number but it won't be yours.

If you have an Android device or an iPhone, you can create a new Gmail account from the Settings app. Doing it this way will bypass entering your phone number. Here's what you have to do:

That's it. You don't need to input anything else. You can use your new email and you won't have to verify it with a phone number.

Set your age to 15

Making yourself underage is another way to avoid the phone verification requirement. If you're 15 years or younger, Google will think that you still don't have a smartphone. The best part of this method is that it's extremely simple. All you have to do is set a different birth year. This is how you can do it:

This method works, but keep your age under 18 or Google may eventually want your phone number. Also, if you're going to add a security option like another e-mail, create a second e-mail where you're under 15 and add use that one instead.

IMPORTANT: This method will work ONLY if you sign out of your other g-mail accounts prior to doing it. If you do not, Gmail won't ask for your birthday and because it will think your birthday is the same as your previous e-mails.

Use a fake number

Another option is to use a dummy number. That's an online service that you can use to verify your accounts via mobile number. You can use one of the dummy numbers from these websites instead of your own. If you go for this option Gmail will send a verification key to the dummy number and you'll be able to read it and enter it.
Some of the websites that offer dummy numbers are:

Note: You won't be able to use a number multiple times. So, if you set your phone number to be your sole recovery option, you could permanently lose your email account if you lose your password.

Can I use the same phone number for multiple Gmail accounts?

Absolutely. If you use a real phone number to sign up you can use it multiple times to sign up for different Gmail accounts. You can't use dummy numbers more than once, however, so if you wish to use one number on multiple accounts you will have to use a real number.

A second option is to make a bunch of accounts where you are under 15 and updating your birthday as time goes on. Why update it? Because while Gmail doesn't normally ask you for a phone number once you turn 18 their terms of service could change in the future.

As you can see there are a variety of options to explore. However, keep in mind that Google asks for your phone number for a reason. If something happens to cause you to lose access to your Gmail account you might not be able to recover it without a real phone number linked to the account. Think carefully before you set up your new Gmail account.
